Formatting email notification messages in MailGate 3.5
Summary
The article provides information on modifying Email Notifications Messages within MailGate.
Introduction
Currently the white spacing you see while editing the default email notification messages may not be properly parsed when notifications are sent to the administrator/user. You can greatly improve the visual representation of the notification by applying a few HTML tags to the notification source.
Initially, you will need to familiarize yourself with the General HTML code guideline. Then you can log in to the administrative interface of your MailGate and apply formatting to the email notification messages according to your needs.
General HTML code guideline
If you are familiar with HTML code then you will be able parse the email notifications even further to display the output you wish with the <body> tag.
- New Paragraph: <p>
- This starts a new paragraph and creates a blank line between your new paragraph and the one above it. The closing tag is </p>
- Line Break: <br />
- This will break your text to the next line. Two two line break tags is equivalent to one paragraph tag. There is no closing tag needed.
- Bold: <b>
- Closing tag is </b>
- Underline: <u>
- Closing tag is </u>
- Italics: <i>
- Closing tag is </i>
- Change text color: <font color="red">
- Closing tag is </font> For more colors you can use hex codes.
- Changing font size: <font size="3">
- Closing tag is </font>. Please note that the font tag is deprecated in current versions of HTML.
- Blockquote: <blockquote>
- Can be used to indent long or short paragraphs. Closing tag is </blockquote>
Formatting email notification messages
For example, you could format the Inbound Virus Quarantine Notification in the following way:
- Go to Mail Policies > Anti-Virus > Inbound.
- Click on Edit Notifications under Notify Admin.
- Edit the text in the Notification Text box as shown below.
- Click Save to close the window, then Save to save the settings.
The default notification text source is:
Admin Virus Note - Inbound Virus Quarantined An inbound virus was detected and could not be cleaned. The message has been quarantined. Information on this message: Sender of the message: $SENDER Recipients of the message: $RECIPIENTS Date on which the message was received: $DATE Subject of the message: $SUBJECT Details: $REASON
The HTML notification text output is:
Admin Virus Note - Inbound Virus Quarantined An inbound virus was detected and could not be cleaned. The message has been quarantined. Information on this message: Sender of the message: $SENDER Recipients of the message: $RECIPIENTS Date on which the message was received: $DATE Subject of the message: $SUBJECT Details: $REASON
The notification text source can be changed in the following way:
<p>Admin Virus Note - Inbound Virus Quarantined</p> <p>An inbound virus was detected and could not be cleaned. The message has been quarantined.</p> <blockquote>Information on this message:<br /> Sender of the message: $SENDER<br /> Recipients of the message: $RECIPIENTS<br /> Date on which the message was received: $DATE<br /> Subject of the message: $SUBJECT<br /> Details: $REASON</blockquote>
The new HTML notification text output will be:
Admin Virus Note - Inbound Virus Quarantined An inbound virus was detected and could not be cleaned. The message has been quarantined. Information on this message: Sender of the message: $SENDER Recipients of the message: $RECIPIENTS Date on which the message was received: $DATE Subject of the message: $SUBJECT Details: $REASON
